How to Use

  1. 1Upload a PDF file that contains table-like or structured text by clicking the drop zone or dragging the file in.
  2. 2Select the delimiter mode — use Auto Detect for most documents, or choose Tab, Comma, or Custom Spacing if your PDF uses a specific column separator.
  3. 3Click Extract Table Rows to parse the document. The tool reads the text layer of each page and identifies row boundaries based on line breaks and the selected delimiter.
  4. 4Preview the extracted table in the interactive grid. Check that columns are aligned correctly and that row data appears in the expected cells.
  5. 5If columns are misaligned, switch to a different delimiter mode and re-extract. Documents from different software (SAP, QuickBooks, bank portals) encode tables differently.
  6. 6Download the result as .xlsx for use in Excel or Google Sheets, or as .csv for import into databases, Python scripts, R, or other data tools.

About PDF to Excel

PDF to Excel extracts tabular data from PDF documents and converts it into spreadsheet-friendly rows you can open in Microsoft Excel, Google Sheets, LibreOffice Calc, or any CSV-compatible application. The tool supports two export formats — .xlsx (the native Excel format based on the Office Open XML standard since Office 2007, using the ECMA-376 specification) and .csv (a universal plain-text format defined by RFC 4180, compatible with virtually every data tool from Python pandas to R, SQL databases, and business intelligence platforms).

The extraction process works by reading the text layer embedded in your PDF and splitting it into rows and columns based on the delimiter you select. Auto Detect mode analyzes spacing patterns and chooses the most likely separator automatically, which works well for most standard documents. For PDFs generated by accounting software like QuickBooks or Sage, ERP systems like SAP or Oracle, or bank portals that export statements as PDF, the tab or fixed-width modes often produce cleaner results because these systems tend to use consistent column spacing patterns that map directly to specific delimiter types.

Common use cases include extracting transaction data from bank statements for reconciliation in accounting software, pulling line items from invoices and purchase orders for accounts payable processing, converting financial reports into editable spreadsheets for variance analysis and forecasting, and recovering tabular data from legacy documents that only exist as PDFs. Accountants, bookkeepers, data analysts, auditors, and procurement teams use tools like this daily to avoid the tedious and error-prone manual re-entry of data that is already structured inside a document but trapped in an uneditable PDF format.

The tool handles multi-page PDFs and extracts tables from every page in a single pass, concatenating the rows into one continuous dataset. For documents where only certain pages contain the data you need — for example, a 50-page annual report where the financial tables appear on pages 12-15 — consider using our Split PDF tool first to extract just those pages, then run the table extraction on the smaller file for faster processing and cleaner results. This two-step approach is especially valuable for large documents where non-table content like charts, headers, and narrative text would otherwise be included in the extraction.

It is important to understand that this tool extracts selectable text — it does not perform OCR (Optical Character Recognition). If your PDF is a scanned image (common with older documents, faxes, or photos of printed pages), the text is not embedded in the PDF's content stream and cannot be extracted directly. You can test this by trying to select and copy text in your PDF viewer — if you cannot highlight individual words, the document is image-based. In that case, run the document through our Image OCR Extractor first to convert the image to machine-readable text, then use this tool on the resulting file.

All extraction runs entirely in your browser using JavaScript libraries for PDF parsing and spreadsheet generation. Your PDF is never uploaded to any server, never stored remotely, and never accessible to anyone but you. This client-side architecture makes the tool safe for financial documents, tax returns, client invoices, medical billing statements, payroll records, and any file containing sensitive data that cannot be shared with third-party cloud services due to compliance requirements such as HIPAA, GDPR, or internal data governance policies.

Frequently Asked Questions

Will this perfectly extract complex multi-column layouts?

Results depend on the PDF structure. Documents with consistent delimiters and simple grid-like layouts extract cleanly. Complex layouts with merged cells, multi-line rows, or nested tables may need manual cleanup in Excel after export. For best results, try different delimiter modes to find the one that matches your document's structure.

Can I export to both Excel and CSV?

Yes. After extraction, you can download as .xlsx (for Excel, Google Sheets, or LibreOffice Calc) or .csv (for databases, Python pandas, R, or other data tools). The .xlsx format preserves column structure, while .csv is a plain-text format that works with virtually any application that handles tabular data.

Does this work with scanned PDFs?

No. This tool extracts selectable text from PDFs — text that you can highlight and copy in a PDF viewer. Scanned documents (where each page is an image) require OCR processing first. Use our Image OCR Extractor to convert scanned pages to text, then run the extraction here.

Is my PDF uploaded to a server?

No. All processing runs locally in your browser using JavaScript. Your file never leaves your device, is never stored, and is never accessible to any server. This makes it safe for bank statements, tax documents, medical records, invoices, and any file containing confidential information.

What if the columns are not aligned correctly?

Switch the delimiter mode from Auto Detect to a specific option like Tab or Custom Spacing. Different PDF generators encode tables differently — a document from SAP may use tabs while a bank statement uses fixed-width spacing. Testing different modes usually resolves alignment issues within one or two attempts.

Can I extract tables from a specific page instead of the whole document?

The tool extracts from all pages by default. If you only need data from certain pages, use our Split PDF tool first to extract those pages into a separate file, then run the table extraction on that smaller document. This also speeds up processing for very large PDFs.

What types of documents give the best results?

Documents with clear, consistent tabular structure extract most reliably — bank statements, invoices, financial reports, price lists, inventory sheets, and data exports from business software. The key factor is that columns are separated by consistent delimiters or spacing across all rows.

How does this compare to paid PDF-to-Excel services?

Cloud-based services often use server-side AI to handle complex layouts and scanned documents, which can produce better results for difficult PDFs. However, they require uploading your files to third-party servers, often limit free usage, and may retain your data. This tool processes everything locally in your browser with zero data exposure, making it the better choice when privacy matters or when your documents have straightforward tabular structure.
